Build a One Time Load

Overview

One time loads are single loads that do not reoccur. One time loads in Optimiz contain all of the required information to move the customer's products from origin to destination for one delivery.

One time loads differ from logistics plans. Logistics plans can automatically generate multiple loads on a regularly scheduled basis perpetually as needed. However, one time loads only occur once (on a specific date and time).

Although Optimiz provides many methods for capturing orders (such as EDI, Customer Portal, and Logistics Plans), customers and suppliers may provide orders via phone or email.

At a minimum, the following information is required to book a load when using this process: Origin, Destination, Pieces / Weight, Ready Time / Close Time.

When entering entity names, addresses, or comments, no special characters such as !, @, or & are allowed.

If configured in the Customer Hierarchy, Pre-Assigned Customer IDs will appear as a Reference Type after the shipment or load has been saved.

When Should I Create a One Time Load?

Create a one time load to handle requests from customers for a single delivery that does not recur.

Prerequisites

To enter a one time load in as few steps possible, the following actions must already be complete:

  • The origin and destination should be associated with one another in the Customer Hierarchy with as much default data as possible. Different groups are responsible for setting up and maintaining the Customer Hierarchy. Customer Hierarchy Overview
  • If the origin or destination do not appear when searching, see Create a New Entity.
  • Financial data for each BillTo, Responsible Party, and Payment Party must be configured by a user with the Accounting role. Access Accounting/Financial Data

A one time load can be created without the master data but requires additional information to be entered manually.

Process

To Create a One Time Load (Process):

  1. Access One Time Loads. Access One Time Load Entry
  2. Add the required shipment information if needed. Add a Shipment to a Logistics Plan
  3. Manage the related segments. Add a Stop to a Logistics Plan
  4. Add the required load details. Load Details Overview
  5. Review the information and save. Save a One Time Load

Result

The load is saved and will be tendered within 15 minutes if the pickup time is less than 24 hours away, or the day before pickup at 11 A.M. ET.
