Create the Customer Hierarchy for New Customers
Overview
The customer hierarchy must be configured for each new customer. This requires associating the various BillTo, ShipFrom, and ShipTo entities with the Customer entity. Optimiz uses the information and associations in the hierarchy to auto-populate various fields throughout the application. The Start-Up Team is responsible for creating the customer hierarchy.
Prerequisites
All entities and entity-types to be associated with the Customer must be created before the customer hierarchy can be configured. These include:
- BillTo
- ShipFrom
- ShipTo
- Payment Party

Process
To Create the Customer Hierarchy for a New Customer:
- Search for and open the Customer. Access the Customer Hierarchy
The Customer Hierarchy opens.
- Click on the wrench next to the Customer name to display the default settings box.
- Click Add Bill To.
- Search for the Bill To entity by entering the name of the BillTo or the entity ID number in the search field.
- Select the entity from the results list.
Double-check the name and address of the entity to ensure the correct one is selected. All information and entities must be associated correctly for the hierarchy to work.
- Click +Add.
The entity is added to the Customer Hierarchy at the Bill To Level.
- Set the cursor on the Bill To entity wrench icon to open the defaults box.
- Click Add Location. Only ShipFrom or ShipTo entities can be added to the Location level.
- Search for the ShipFrom/ShipTo entity by entering the name of the entity or the entity ID number in the search field.
- Select the entity from the results list.
Double-check the name and address of the entity to ensure the correct one is selected. All information and entities must be associated correctly for the hierarchy to work.
- Click +Add.
- Click Import Excel File to mass upload a list of entities in the Location level.
The entity is added to the Customer Hierarchy at the Location level.
- Click on the wrench next to the Ship From/Ship To entity in the Location level to display the default settings box.
- Click Add Trading Partner.
- Search for the ShipFrom/ShipTo entity by entering the name of the entity or the entity ID number in the search field.
- Select the entity from the results list.
- Click +Add.
- Click Import Excel File to mass upload a list of entities in the Trading Partner level.
Double-check the name and address of the entity to ensure the correct one is selected. All information and entities must be associated correctly for the hierarchy to work.
The entity is added to the Customer Hierarchy at the Trading Partner level.
If the entity entered at the Location level is a Ship From, the entity at the Trading Partner level must be a Ship To. If the entity at the Location level is a Ship To, the entity at the Trading Partner level must be a Ship From. Optimiz will not let you enter the same entity type for both the Location and Trading Partner levels.
Result
The customer hierarchy is configured. Default exceptions can now be set for the entities, as needed.
